The Scented Gathering A Mobile Candle-Making Experience Create space to slow down, connect, and make something beautiful together. The Scented Gathering is an intimate, all-inclusive mobile candle-making experience designed for meaningful gatherings. From birthdays and girls’ nights to bridal and baby showers, milestone celebrations, and corporate events, Quiet Quarters brings a relaxed sense of luxury directly to you. You and your guests will create hand-poured candles using premium materials while exploring fragrance, creativity, and intention in a guided experience that feels equal parts celebration and self-care. What’s Included 90-minute mobile candle-making experience All candle-making supplies, including vessel, wax, fragrance oils, wick, labels, and more Guided candle-making instruction Full setup and breakdown service Make It Your Own Enhance your gathering with optional add-ons. Additional fees apply: Table & Chair Rental — $10 per person Vessel Upgrade — $5 per person; choose your vessel color Custom Labels — $4 per person Custom Intention Cards — $2 per person Table Styling & Florals — starting at $375 Table Styling & Florals may include: Tablescape design inspired by your theme and color palette Floral arrangements or bud-vase styling Candles and decorative accents Table linens or runners, when applicable Centerpiece styling Pre-event setup and styling Post-event breakdown Details $65 per person 5-guest minimum 25-guest maximum Mobile service is available throughout the Philadelphia, PA Tri-State area. Cancellation Policy
Booking, Cancellation & Add-On Policy Booking & Payment Full payment is due at the time of booking to reserve your date and time. Your event is not confirmed until payment is received in full. Because The Scented Gathering is a mobile experience, your date is reserved exclusively for your group and may prevent us from accepting another booking. Cancellations & Rescheduling We understand plans can change. Please contact Quiet Quarters as soon as possible if you need to cancel or reschedule. • 14+ days before your event: You may receive a 50% refund of your booking total. Custom or event-specific items already purchased, prepared, or produced are non-refundable. • 7–13 days before your event: Your booking is non-refundable, but you may request to reschedule for an available date. • Less than 7 days before your event: Your booking is non-refundable and non-transferable. Rescheduling may be considered case-by-case and is subject to availability and additional costs. • Less than 48 hours before your event or a no-show: Your booking is forfeited and cannot be refunded or rescheduled. Rescheduled events must occur within 90 days of the original date and are subject to availability and current pricing. Approved refunds are issued to the original payment method. Processing fees and non-recoverable costs are non-refundable. Add-On Services Enhance your gathering with custom labels, custom intention cards, vessel upgrades (choose your color), table & chair rentals, and table styling with florals. Custom and event-specific items are non-refundable once ordered, prepared, or produced. Floral selections are subject to seasonal availability and may vary slightly while maintaining the agreed-upon design. Adding Guests Additional guests may be added subject to availability and the 25-person maximum. For events with custom add-ons, the final guest count and customization details are due at least 7 days before the event to allow time for preparation. Additional guest fees must be paid before the event. Last-minute additions are not guaranteed custom materials, upgraded vessels, rentals, or other event-specific items and may be declined if we cannot accommodate them. Event Location & Access As a mobile service, please provide accurate access information when booking, including parking, stairs, elevators, gated entrances, loading areas, and venue restrictions. Clients are responsible for providing safe and reasonable access. Delays caused by access issues may affect setup time
